Forest Oaks Facility Rentals

The Forest Oaks Swim & Racquet Club provides several facilities available for rental. The main clubhouse area is available for rental as is the main pavilion and 8 park pavilions. During pool season, there is also limited availability for pool party rentals.​​

General Facility Rental Policies
Please review the full rental policies (blue button above) before completing application.

Rental Requests

  • All facility rentals are subject to availability. Click on the Online Rental Calendar button.
  • All renters and their guests must obey the rules for the use of the Park Facilities. Renters and their guests can be ordered to leave the Facilities and surrounding grounds if they fail to follow the policies and rules. Renter will be subject to denial of future use of the Facilities for failure to abide by these policies and rules and forfeit their deposit and fees.

  • The individual requesting a rental must be 21 years of age or older and that individual must be present for the entirety of the rental.

  • All rental applications, rental fees, and rental deposits must be submitted in-person at the Office to finalize a rental request.

  • Repeat "money-making / personal business" events on a regular schedule are prohibited.

  • Any request with 26 or more participants involving alcoholic beverages required the presence of uniformed peace officers. Events with 26-60 participants required one (1) officer; events with 61 - 100 participants requires two (2) officers; events with 100+ will be dependent on the anticipated participants. Coordinating and payment for peace officers is on the renter and not on Forest Oaks.

Rental Fee and Deposits

  • All rental fees and deposits are processed by the Forest Oaks Admin Office.

  • Non-Pool Facility Rental Request Deadline

    • All applications and fees must be submitted at least three (3) business days prior to the requested date(s).

      • Any request made less than three (3) business days from the requested date will be denied.

  • Pool Rental Request Deadline

    • Any application and fees for a pool rental must be submitted at least fifteen (15) business days prior to the requested date(s).

      • Any pool rental request made inside of 15 business days from the requested rental date will be denied.

        • Because Lifeguards must be scheduled through Forest Oaks, additional days are needed to secure and schedule the needed staff.

  • Payment by cash, check, or credit card for rental fee and deposits are accepted.

    • All checks should be made out to FOSRC WCID110.

    • All rental deposits will be processed by Forest Oaks.

    • All deposit returns are done by check from WCID110, which can be picked up two business days after the rental.

  • In the event that a rental payment or deposit is returned for insufficient funds, the request will be cancelled.

  • In the event that there are damages or associated fees in excess of the deposit, the renter will be required to pay the amount or will be subject to water service termination until full payment is made.

  • Within ten (10) business days, the renter can receive a check for the refund of their deposit. Deposit refund checks an be picked up in-person in the Forest Oaks Admin Office or mailed. Just let us know which works best for you.​

Holding Rental Requests

  • You can view the facility rental calendar online to see what spaces are booked for specific days and times.​

  • Rental requests can be held for up to three (3) business days without a Rental Application and payment.

  • If another rental request is submitted with a Rental Application and payment, the "held" request is cancelled.

Access cards

  • Any rental for the clubhouse, classroom, or park include one (a) access card for the clubhouse front door or park gate or tennis gate.

  • Access cards must be picked in-person up 3 to 5 business days prior to the event date(s) from the Admin Office in the clubhouse.

  • Failure to pick up access cards at least 24 hours prior to an event will be viewed as a cancellation of your rental and no refund is permitted.

  • All access cards must be returned to the Admin Office within two (2) business days of the conclusion of the rental. Access cards cannot be left in a space following a rental.

  • Failure to return access cards will result in a $50 fee from the deposit.

Parking

  • All clubhouse rentals come with two parking passes for the upper parking lot. All other participants should use the lower tennis court parking lot.​

  • All park rentals come with one (1) access card and two parking passes. Up to two vehicles can park near the rented pavilion. All other participants should park in the parking lot.

  • Parking violations are the responsibility of the vehicle owner and not Forest Oaks. Failure to park legally could result in a vehicle being towed at the owners expense.

Completion of Rental

  • All renters are responsible for cleaning all rented spaces (including grounds), returning all equipment to the correct locations, placing trash in the correct trash cans or dumpsters, removing all decorations, removing all food/drink/condiments brought by the renter, ensuring the facility is returned to the original state before leaving, returning all furniture to its original locations, and ensuring doors or gates are securely closed and locked before leaving the facility.

Rental Deposit Return

  • The District will return to the Applicant within ten (10) business days following the function the full deposit amount, provided

    • Access card(s) returned to the office within two business days of the event,

    • the rented facility/space is cleaned,

    • there is no damages to the facility/space or surrounding grounds from Applicant’s use.

  • In the event the clubhouse or grounds are not cleaned or are damaged; the Water District will:

    • make the necessary repairs and/or clean the facility/space,

    • will deduct the cost of the cleaning/repairs plus a $50.00 administrative fee from the deposit, and

    • if the cost of repairs/cleaning plus administrative fee exceeds the deposit, the Applicant will be required to pay the balance.

      • Examples and fees for loss of deposit include, but are not limited to, the list on APPLICATION “A” PART 4.

      • The $50.00 administrative fee is in addition to the fees listed in APPLICATION “A”.

Rental Cancellations

  • Renter must contact the Forest Oaks Admin person by phone, email, or in-person to cancel a rental.

  • Renter must provide five (5) days’ notice of cancellation; otherwise, Renter will forfeit the rental fee and only the deposit will be refunded.

Rental Application A-1

  • Form for rentals of the clubhouse, pool, main pavilion, park pavilions, or to request park passes for tours, boating, or photography.

  • Fillable form can be completed, printed, signed, and brought to Forest Oaks Admin Office.

  • Other forms are required depending on the facility being requested.

Rental Application C

Rental Application D

  • Forest Oaks Park for 5K's or Large Park-wide Events

  • Form and rental fees must be submitted to Forest Oaks Admin Office in-person.

  • Renter must also complete Rental Application A-5 and submit with application.

  • All participants must complete Rental Application A-3 (Consent / Waiver / Liability Agreement) to renter prior to participation and renter must submit to Forest Oaks prior to start of rental.

  • Applicant must also provide a map showing layout of event when submitting application.

Clubhouse Rentals

Renters will have card access to enter through the Joanleigh Dr. side entrance of the clubhouse. The foyer door can be unlocked for events. Doors may not be propped open throughout an event. If your rental is during a time where the Forest Oaks Admin Office is open, the foyer access can be restricted or denied. We do not close our offices for rentals during normal business hours. Parking passes for up to two (2) vehicles are included in the rental. All other participants should park in the lower tennis court parking lot. The clubhouse has a maximum capacity of 50 people for an event. If tables and chairs are to be used, the space will comfortably accomodate fewer people. Rentals of the Forest Oaks Clubhouse include access to the rental room, foyer, bathrooms, and kitchen area, 50 chairs, ten 8-foot tables, five 6-foot tables, and ice machine access. Foyer area can only be used for sign-in, check-in purposes. No food can be set-up or consumed in the area. Use of the foyer can be denied or restricted at the discretion of Forest Oaks Admin at any time. Events must be completed and spaces cleaned and reset by midnight on the date of the event unless special approvals have been given by Forest Oaks Admin. At the conclusion of the rental the spaces must be cleared of all decorations, any changes to Forest Oaks furniture or decor mus be reset, rental tables and chairs reset in closet in proper order, any rental items in the refridgerator must be removed, kitchen counters wiped down, floors swept and mopped, trash take to outside trash cans outside between the clubhouse and gym in the fenced area, and doors locked. Main Pavilion Rental

The main pavilion is located next to the water tower and clubhouse. It is a large, covered space with multiple tables and a large fan. Restroom facilities are located either inside the clubhouse or a bathroom trailer (if available). If the clubhouse is closed and the bathroom trailer is not available, then the renter is responsible for securing bathroom facilities on their own. Rental guests should not access the Forest Oaks tennis gates to use the bathroom facilities. If minors are present, a ratio of 10 minors to one adult is required. Minors must be actively supervised at all times. At the conclusion of a rental, the renter must clean the space of all decorations, dispense of trash in the recepticles, and the lights will be shut off automatically by a timer. Pool Rentals

The rental of the Forest Oaks Pool is restricted to regualr club members only; with exceptions for large organizational groups on a case by case basis. The pool can host birthday parties, family gatherings, and larger school or organization events. Pool availability is limited to the summer operating schedule and rentals are not accpeted during the off-season. Rentals are also limited due to open swim hours, swim lessons, our Forest Oaks Barracudas swim team schedule, and scheduled cleaning and maintenance. Pool rental fees include the rental fee and depsosit but also include lifeguard fees. Any rental of the pool requires Forest Oaks lifeguards to be on-duty. Lifeguards are scheduled by the Forest Oaks Pool Manager. Pool Party Area 1 is under the Pool House Pavilion. Pool Party Area 2 is in the shaded area on the pool deck on the opposite the fitness center and pool entrance. All rentals involving minors required a 10:1 ratio for minors to adults. Adults must actively supervisor minors and be in the water in close proximity to minors who struggle to or cannot swim. We do approve private party rentals during normal pool operational hours dependent on the number of anticipated guests. This means that the rental will not have exclusive access to the pool and must be accomodating to normal pool guests. All pool rentals must be concluded by 8:30 p.m. This includes take-down and clean-up of the spaces. Smoking is prohibited inside of the pool gates. Vape and e-cigs are allowed but we ask for patrons to be aware of and respectful of others. Alcohol is prohibited inside the pool area at all times, including for rentals. Lifeguards are the final authority on all pool policies and rules. Any participant who does not follow our stated policies or refuses to abide by guard instructions will be asked to leave the facility and the renter could be fined or have their deposit return cancelled. At the conclusion of a rental, the renter must clean the space of all decorations, dispense of trash in the recepticles, and ensure all pool furniture is returned to the proper locations. Tennis Court Rentals

Tennis Courts are limited by open tennis usage, Rivera Tennis Academy programs and events, tennis leagues, and other Forest Oaks events. Tennis court usage must be completed by 10 p.m. This includes take-down and clean-up of the spaces. Event space is available around the tennis courts as well as on the Pool House plaza. There are multiple tables and chairs available. All tables and chairs should be returned to their original location at the conclusion of the event. Restroom facilities are located in the pool house. Ice and a large sink with a hose attachment is available from the pool house custodial closet. Coolers can be filled by renters and Forest Oaks is not responsibile for filling or refilling ice for rentals. Parking is available in the lower tennis court parking lot, Forest Oaks Park lots, Lemm Elementary (if school is not in session), and street parking on Cypress Oaks Dr. Parking on Joanleigh Dr. is prohibited. Alcohol is prohibited on courts and participants should not be under the influence of alcohol or other substances if participating in an event. If minors are present, a ratio of 10 minors to one adult is required. Minors must be actively supervised at all times. At the conclusion of a rental, the renter must clean the space of all decorations, dispense of trash in the recepticles, and turn off the lights. Park Pavilion Rentals

The rental of the Forest Oaks Park Pavilions are ideal to host birthday parties, family gatherings, and group or organization events. Park rentals are for a maximum of five (5) hours, including set-up, take-down, and clean-up. There are eight (8) pavilions inside of Forest Oaks Park. All pavilions have at least two tables, trash cans and a charcoal grill available. Larger pavilions have 3 or more tables. Some pavilions have a dedicated parking spot while others do not. Renters will receive one gate access card which will allow you drive into the park and unload your vehicle at the pavilion. You will also receive two parking passes which can be used to park inside near your pavilion. All other guests must park in the parking lot and walk to the pavilion. There is one bathroom facility in the park near the playground and upper lake. Amenities like sand volleyball (near pavilion 1), cornhole boards (near pavilion 4 and pavilion 8), a large firepit (only allowed with prior approval from Forest Oaks admin) are available. All rentals involving minors required a 10:1 ratio for minors to adults. Adults must actively supervisor minors and should not allow them to wander off alone on trails or into wooded areas. All park rentals must be concluded by sunset. This includes take-down and clean-up of the spaces. Alcohol is allowed for park rentals but, depending on the number of guests, will require uniformed peace officers. For events with 26-60 guests, one (1) peace officer is required. For events with 61-100 guests, two (2) officers are required. For events or 100 or more guests, requirements will be discussed with Forest Oaks admin prior to the rental agreement approval. The rental of the Forest Oaks Park for larger events like a 5K, school or organizational event, wedding, or other event where you anticipate the need for park-wide usage, please schedule a meeting with Forest Oaks Admin to discuss your event in more detail. Alcohol is allowed for park rentals but, depending on the number of guests, will require uniformed peace officers. For events with 26-60 guests, one (1) peace officer is required.
